PROJECT PROCESS

In Tomato, all translation projects are required to pass the strict process according to international standard from reception to submission in order to guarantee the best quality. With long-term experience, we are proud of having been applying such a 9-step translation project process that helps us to provide the translation with the highest quality.

STEP 1

PROJECT RECEPTION

After receiving the client’s request, Project Manager (PM) is responsible for checking the request in details: pair of languages, duration, original files, table of terms (if any), quality of original files, targeted format, and other special remarks (if any).

STEP 2

TRANSLATION TEMPLATE DEVELOPMENT

In this step, Tomato’s engineers create a translation template based on the original files sent by the client. This template helps the translators to handle the documents easily via Trados that is the top popular translating software today.

STEP 3

TABLE OF TRANSLATION TERMS BUILDING

Regarding large scale projects, a proper table of translation key terms is built for all translators’ reference during their translation. This thing helps to ensure the project coherence. Furthermore, this table is also saved, analyzed and updated continuously in order to become a comprehensive table of terms or storage of key term data that only exists in Tomato for the next projects.

STEP 4
TRANSLATION

In this stage, PM assigns the jobs to the translator(s) with level and experience relating to the required major and pair of languages. After being done, the translated files are sent to PM for edition step.

STEP 6
DESKTOP PUBLISHING (DTP)

Regarding the special documents for company and product introduction, or other media documents, translation laying-out is very important to the effective communication. In terms of this service, based on the client’s demand, our engineers will do Desktop Publishing (DTP) to the translated files in order to ensure that the translated content is laid out in the most suitable way to the aims and end users.

STEP 8
PRODUCT HANDOVER

The personnel in charge are responsible for handing over the finished products to the authorized representative of the client. The translated files are done in full or partial handover, up to the scope of the project and the mutual agreement. The products could be handed over in soft files, or/and hard files certified by Tomato. Delivery is available in Tomato.

STEP 5
EDITION

The translation is a man-made product that no proper ruler is available for. In fact, translation errors or difference in style could happen, regardless of the translators’ level. Hence, reviewing all translated files in terms of grammar, spelling, styling, word selection is really necessary.

Based on the opinions by the editors, the translators and editors work together to make decision on agreement or refusal to the edited content.

In case of the client’s request, we will send out the final draft translation for the client’s comments before moving to formatting and laying-out steps.

STEP 7
QUALITY CONTROL (QC)

After Desktop publishing, we do error checking again to make sure:

  • Correct font is applied, no font error and typo.
  • Header and footer follow the original files.
  • Personal names are in right spelling.
  • Justification, graphics and laying-out are correct and follow the original files.
  • No styling and spelling error after page layout.
  • No parts are missed after page layout.
  • The changes (if any) of the original files during translation are updated in the translated files.

This checking must be guaranteed and confirmed by QC manager before handing over the finished products to PM.

STEP 9
STORAGE AND KEY TERM UPDATE

The soft files of the source and translation are stored in the system according to our confidentiality policy, and the hard files will be destroyed in a certain time after the project completion. Except the hard files handed over to the client, we minimize the printing, handling and storing in paper.

At the same time, after any projects is completed, we will update the key term store in the system in order to enhance the speed and quality of the next projects with the same major.
